On-Campus Dining at Aquinas College
Menus & Policies
Thank you for choosing Aquinas College for your special event. We realize every event
is an important one. We take pride in the fact that our professional catering services
are innovative, creative and accommodating. We offer exceptional catering selections
and service with customized menus created by our Executive Chef, for your special event.
Our Catering Manager will be glad to sit down and assist you in building a personal

Space Reservation
You must first contact Aquinas College Conferencing & Event Services to reserve space on campus by calling (616) 632-1047.
Food/Beverage Needs
After you have the space confirmed, you will receive a reservation number. Once you
have this number, you may contact Aquinas College Catering Office by calling (616)
632-2965 or email catering@aquinas.edu. You will need to provide the Catering Manager with the reservation number.
Payment
Payment for each event must be made in full, in advance of each event. A deposit of
$1,000 along with a signed contract or confirmation letter may be required when your
reservations are made. The balance is due in total seven days prior to the event along
with the final count of guests. Any additional charges incurred are to be paid in
full prior to the conclusion of the event. Visa or MasterCard will be accepted for
payment. Checks are to be made out to Aquinas College. Aquinas College budget numbers
are acceptable for payment and must be provided prior to the event.
Service Charge and Taxes
There will be 18% service charge and 6% sales tax added on to each special event.
If your group is tax exempt, we will need your federal IRS 501C number.
Final Guarantee
We will need to be provided with a final guarantee count seven days prior to the event.
We prepare for 5% more than guarantee and the final bill payment seven days prior
will reflect the final guarantee number. If you should have additional guests on the
day of the event, additional payment will be expected prior to the conclusion of the
event.
Notice & Cancellation
A successful special event requires planning and coordination. Please choose your
menu with the Catering Manager 90 days or less prior to your event. Prices will not
be guaranteed prior to 90 days. In the event that notice cannot be given, we will
make every effort in providing you with the service required. For events of 50 people
or more, we require a minimum of 15 days notice; if we receive less than 15 days notice,
there may be an additional 25% late charge.
If unfortunate circumstances arise that lead you to cancel your event, catering services
must be notified at least thirty days prior to the event to avoid incurring dining
service charges. The $1,000 deposit may be forfeited.
Aquinas College does not assume responsibility for lost, stolen or damaged items belonging
to the event host and all guests. All items pertaining to your event must be removed
at the conclusion of the event.
Rental and Extras
In the event that special items need to be rented, we will charge these items back
at cost plus a 15% handling charge. Again, our Catering Manager will assist you in
providing tables, linens, specialty china or equipment necessary for your special
event.
Linens and table skirting will be provided for all tables related to food service.
We will provide additional linens at a nominal fee. We have a selection of linens
to choose from; however, if there is a need for special linen that we do not carry,
the rental cost will be added to your final bill. At your request, we can provide
your event with centerpieces, table accents, and décor for an additional fee. Contact the Catering Manager for more information.
Room Set-Up
The Aquinas College Conferencing Department can assist with all room set-up provisions,
special equipment requests, and building access arrangements.
No outside food or beverage may be brought into Aquinas College, with the exception
of beverage service contracts and wedding cakes. Additionally, as mandated by state
health codes, no food and/or beverages remaining from your event may be removed from
the premises by the host and/or guests.
